How to Use Work Orders

Work Orders are an optional feature in CSDatum. If you'd like to begin using them, and they are not currently available for you, reach out, and we can very quickly enable them.

Work Orders are used to document maintenance, repairs, and similar work that is performed on one of the assets mapped on CSDatum's map.

The term "Work Order" may give you the idea that the work will be delegated to another person for them to perform the work. Delegation of work is possible, but is not a requirement within the system. Work orders can be used to create a record of any work that was performed on an asset.

Work Orders Create a History

As work orders are recorded over time, they can help tell the story of that asset's history. For example, a roadway segment with a history of patching and pothole repair may need to be scheduled for repaving.

All work orders that have been saved on a particular asset will show within the Work Orders panel of the Asset Info Screen. The completed work orders within this panel are the history textbook of that asset.

Work Order Data

Work order data is entered in the top portion of the Work Order screen. The data consists of six panels of data. Navigate between the panels using the <Prev and Next> buttons.

All the data fields within a work order are optional. This allows you to quickly create a work order with just enough information to identify its purpose and then come back later to add relevant data.

Since all the data fields are optional, this also allows you to bypass any irrelevant data. For example, some work may not require any parts or materials, therefore the Parts and Materials data panel can be left blank without triggering an error message.

Work Order Status and Progress

The bottom part of the Work Order data screen shows the work order's status.

The four statuses of a work order are:

  • Assigned

  • In-Progress

  • In Review

  • Approved

The work order progresses through those statuses as follows:

  1. As soon as the work order is created, it is in the status of Assigned. This means that it has been created and assigned to someone to perform the work (sometimes the assignee is the person that created the work order)

  2. When the assignee begins to work, he/she clicks Mark In-Progress to indicate that the work has begun and is in progress.

  3. When the work is complete, the assignee clicks Mark for Review to notify the reviewer that the work is complete and ready for review.

  4. When the reviewer has completed the review he/she clicks Mark Approved to approve the work order, close it out, and put it into a read-only status.

If the work order was not assigned to anyone and is being used to record work that was already completed, the person that creates the work order can immediately mark it as approved to close it out.

Work Order Notifications

If a user is assigned to perform the work on or to review a work order, they will get a notification within CSDatum when they next login. The notification displays within the Notifications section of the menu screen and also as a Red Bubble over your initials in the upper left hand corner.

In addition, users assigned on a work order will get an email notification about the assignment.
