Send a Complaint Letter

Permit Manager's Custom Print Templates feature can be used to create a template of a letter that can be sent to property owners where there has been a complaint. Multiple templates may be created to suit many different situations. For example, you may have a template for a general notice that a complaint was received and one reporting the findings of the complaint inspection.

Before sending a complaint letter, you'll first need to create and design the template. The details of this process are described in this article.

Printing a Complaint Letter

When you are ready to print a complaint letter, begin from the window of the complaint in question. Click Gear > Print Custom Template.

This will open the Print Custom Template dialog box. Here, you will choose the specific template that you want to print.

If you have many different templates, you may search for the correct one by typing into the search box. The list will actively filter while you are typing. After selecting the template, click Generate.

After choosing the appropriate template, you may need to adjust certain details of the letter. For example, in the screenshot below, the template includes the ability to adjust the date of the letter, the recipient (deed owner or resident), and the letter's subject line.

After making these adjustments, click Done. Permit Manager generates a preview of the letter in a new window.

  • Change Options - To change any of the printing options you selected in the previous step, click the Pencil button.

  • Save Letter - To save a PDF of the printed letter to the complaint's Documents tab, click the Floppy Disk button.

  • Print Letter - To print the letter, click the PDF Document button, which opens the document in a PDF viewer for printing.

  • Zoom - To change the document's zoom level, click the Magnifying Glass button.
