Users often need to find permits that are expired or about to expire so that they can take some sort of action on the permit. Typically, the user will either contact the applicant, close out the permit, renew the permit, etc.
One important thing to note is that Permit Manager does not automatically change a permit's status to Expired once the expiration date is past. Even though the expiration date is past, that permit is still "active" until it has been renewed or closed out in some way. Some users create an expired permits report and then manually change the status of each permit to Expired.
Permit Manager's reporting tools can be used to find permits that are expired or about to expire. Either a standard report or a custom report can be created. Standard and Custom reports are discussed below.
Standard Permits Expiring Report
Permit Manager's standard report for Permits Expiring is the quickest way to get a view of expired or expiring permits. To access that report go to Reports > Permits Expiring Report.
The Report Options dialog box presents several options for the report.
Include Multiple Permit types Checkbox - Check this box if the report should include 2 or more permit types. Then, place a check beside each Permit Type to include.
Permit Type - Select one permit type to include, or select All permits.
Permit Sub-Type - This option is only available when one Permit Type is selected. Specify one Permit Sub-Type to include in the report.
Permit Status - This option is only available when one Permit Type is selected. Specify one Permit Status to include in the report.
Expiration Dates - Specify a date range for the permit expiration date. By default, the Start date is blank and the End date is today's date, which will create a report with all permits that expired today or before.
To create a report with permits that will expire within the next month, put today's date as the Start date and a date 30 days in the future as the End date.
After setting the options, click Done. The report generates and is displayed in a new window. To change the document's zoom level, click the Magnifying Glass button. To change permit printing options, click the Pencil button. To save a PDF of the printed permit to the main Documents menu, click the Floppy Disk button. To print the permit, click the PDF Document button, which opens the document in a PDF viewer for printing.
Custom Permits Expiring Report
Permit Manager's Report Builder tool can be used to create a custom report focused on permits that are expired or about to expire. The Report Builder tool allows you to customize the report to include any columns of data that are needed. Similarly, custom filters can be created to focus in on a specific segment of permits to include in the report. This article gives detailed instructions on creating a custom report.
