Permit Officials & Signatures

Municipal Staff & Officials

  • Employees table is used to populate the signature line when printing permits

  • Employees checkmarked as “Inspector” also populate the inspector drop down on an inspection form

  • File > Municipality Setup > Employees Info

Signature Permissions

  • A user can allow other users to apply their signature to permits

  • File > Signatures > Signature Permissions

Default types are listed below. Additional permit types can be added by CSD staff

Permit Subtypes

  • Subtypes are used to categorize permits

  • Default Subtypes are added

  • Subtypes can be modified or added to, depending on the municipality’s preferred system

  • Edit > Permit Subtypes

Permit Numbers

  • Individual Permit Counters or Global Counter or some combination

  • Include/exclude the 2-digit year

  • Optional: Prepend/append a 7-character permit identifier, such as “B-“.

  • Permit number customizations can be changed by CSDatum staff

Permit Default Expiration Date

  • The default expiration date for each permit can be set

  • Options include the following:

    • A specified number of days past the Issued Date

    • A specified number of months past the Issued Date

    • At the end of the current year - 12/31/20___

    • A specific date in the future

  • Default expiration date can be changed by CSDatum staff

Permit Approvals

  • Approvals are used to create a process where multiple people approve a permit

  • Edit > Approval Type List

  • Edit > Approval Group Setup

Printing Permits

Permit Messages

  • Permit messages are the “boilerplate” language that’s often added to the bottom portion of permit printouts

  • Default messages are added, but should be edited to match existing permit printouts

  • Print > Permit Messages

Custom Permit Printouts

  • Custom permits can be created with the Custom Print Templates feature.

  • Print > Custom Print Templates

Fees

Fee Sub-Types

  • Several default fee subtypes are added. Fees should be customized to match the municipality’s adopted fee schedule

  • Edit > Fee Subtypes

Fee Groups

  • Fee groups are used to categorize fees by permit type

  • Edit > Fee Group Setup

Subdivision List

  • This is a list of all the subdivision names

  • Populate the list manually as subdivisions are encountered or we can populate the list using and existing list in Excel format

  • Edit > Subdivision List

Utility Types

  • If OLDS Districts are used, create additional utility types. Examples: OLDS-1, OLDS-2

  • Edit > Utility Types

Codes

  • Construction Codes, Energy Codes, Occupancy Types, Type of Construction, and Foundation Types defaults should be adequate, but review to be sure.

  • Edit > Construction Codes

Complaints

Complaint Types

  • Complaint types are general categories for complaints. By default the following are included:

Building

Junk Vehicle

Sign

Trash/Debris

High Grass

Property

Stormwater

Zoning

  • Edit > Complaint Types

Complaint Sub-Types

  • Complaint sub-types are blank by default. New Sub-Types can be added to provide more definition of the type of complaint

  • Edit > Complaint Sub-Types

Violation Types

  • Violation types could be general violations or major sections of the municipal ordinance

  • We recommend customizing Violation Types to the Code of Ordinances, such as:

    • Property Maintenance §93

    • Sewer Permits §99

    • Streets and Sidewalks §105

  • Edit > Violation Types

  • The violation types should be used in conjunction with the Use Codes to fully categorize a violation, for example:

    • §93-6 (8) - Disposal of rubbish or garbage/dumping

    • §93-6 (9) - High weeds, grass or plant growth

  • Edit > Use Codes

Use Codes

Use codes describe the use of a property or an individual permit. They also determine the section of an ordinance that a violation refers to.

  • Most permits simply use: Residential, Commercial, Industrial, or Agricultural

  • Use codes can be customized for each specific permit type

  • Consider any reports that are required when creating Use Codes. If you need a breakdown of Single-Family Dwellings, Duplexes, 3-plexes, and Apartments, create those Use Codes

  • Properties use a code that is unique to that county

  • Violations Use Codes can be customized (see above)

  • Edit > Use Codes

Inspection Tasks

  • Default tasks have been added that cover many inspection tasks

  • Additional inspection tasks can be customized based on municipality preference

  • Edit > Inspection Tasks

Zip Codes

  • Zip Code list enables the entry of only the zip code in various forms

  • Edit > Zip Codes
