Permits should be closed out to show that they are not active and that no work can be done under that permit. Closing out a permit generally involves updating three data items and may include creating a certificate, such as a Certificate of Occupancy.
Close Out the Permit
The three data items that are typically updated as part of the close out are:
Change the Status of the permit
Enter the Final Inspection Date
Enter the date for Final CO Issued
Permit Status is a required data field and must be set to one of the dropdown options. The Final Inspection Date and Final CO Issued fields are optional, but should be filled in, if they are applicable.
These three data items are located within the Edit Permit window on the General Info tab.
Change the status to one typically used to indicate that the permit is no longer active:
CO Issued - The project is complete, the permit is closed, and a certificate was issued
Complete - The project is complete, the permit is closed, but a certificate was not needed or issued
Closed - The permit is closed, but the project may not have been completed. (This status may need to be supplemented with additional information in the comments.)
There is a checkbox next to the Final CO Issued data field that is a shortcut to close a permit. Checking this box enters today's date in Final Inspection Date and Final CO Issued, if those fields are blank. It also changes the Status to CO Issued.
Close Out Related Permits
If you change a Building or Zoning permit's status to CO Issued and click Save and there are other active permits on the property, the program displays a dialog box to ask if you want to change the status of those other active permits. Click Show Records to display all the active permits that can potentially have their status changed.
This opens the Active Permits window. To update the status of any permits to CO Issued, click the Update button for that permit.
